Situation
A global life sciences organization struggled with resource-intensive audit trail reviews across regulated operations. Manual assessment of high-volume system-generated records led to inconsistent outcomes between reviewers, fragmented data across multiple systems, limited scalability, and potential regulatory exposure from missed exceptions.
Solution
Oxford designed a phased proof of concept centered on intelligent exception reporting rather than simply speeding up manual review. The approach included:
- Unified Knowledge Layer: Consolidating audit trail data from multiple systems into a single governed repository
- Deterministic Exception Engine: Transparent, rules-based logic that flagged records needing attention while preserving explainability and traceability
- Reviewer-Centric Experience: Surfacing prioritized exceptions instead of raw logs, so reviewers could focus on high-value investigations
An optional AI-assisted layer was later introduced to support reviewer queries and surface patterns, while keeping human decision-making authority intact — a deliberate « foundation before intelligence » approach suited to regulated environments.
Result
The POC delivered a functioning exception reporting platform with consolidated visibility across data sources, automated exception identification, and reduced manual review burden. Reviewers gained more consistent outcomes, stronger traceability, and better measurement of review effectiveness — all while preserving human oversight for regulated decisions.
Beyond immediate gains, the engagement produced a reusable, scalable architecture positioned to expand across additional audit workflows, broader data integration, and enterprise-wide exception management — laying the foundation for long-term AI-enabled quality operations.
