Situation
Manual Processes Were Limiting a Multi-Million-Dollar Efficiency Program
As part of a multi-million-dollar corporate efficiency program, the client’s leadership team needed a structured, evidence-based way to identify where automation and AI could deliver measurable business value without introducing operational risk or disruption. Manual processes, fragmented workflows, and repetitive data-handling activities across procurement and services functions (including back-office operations and field service technicians) were reducing efficiency and creating unnecessary workload. The client needed a defensible answer to one question: where should AI investment go first?
Solution
A Six-Week Outcome-Based AI Opportunity Assessment
Oxford deployed a dedicated remote team, including an AI Subject Matter Expert, AI Automation Architect, and Process Operations Analyst, to run a structured, repeatable assessment across the client’s EMEA procurement and services operations. Weekly progress reports, stakeholder workshops, and governance reviews kept the program aligned throughout.
The team mapped current-state processes and found significant variation in procurement, where core activities were executed differently across four separate ERP platforms. Rather than automating four versions of the same process, we recommended standardizing on a single approach first, then implementing automation once as a shared capability. In services, the focus was bounded, human-in-the-loop workflows that reduced manual effort without duplicating existing technology investments.
Result
86,000+ Hours and $680K in Identified Annual Efficiency Gains
The assessment identified:
- ~27,600 hours and $680,000 in annual efficiency gains within services
- 58,704 hours per year in projected reductions across procurement
We delivered detailed opportunity assessments, implementation recommendations, business impact models, and executive-level reporting on schedule, giving the client the evidence base to make informed investment and prioritization decisions. We are now engaged in discussions to expand AI opportunity assessments across additional business units and are supporting the next phase of implementation planning.
