SITUATION

Our client traditionally relied on manual review of customer shipment requirement documents, including unstructured formats like PDFs, contracts, and retailer guidelines. This approach resulted in delays, inconsistencies, limited visibility into recurring compliance issues, and high operational costs. The lack of automated processes put the client at risk of mismatches between customer requirements and internal supply chain procedures, which could lead to substantial fines and chargebacks from major retailers.

SOLUTION

The client partnered with us to initiate a Proof of Concept (POC) to demonstrate how Generative AI (GenAI), integrated with the MAX API and Azure environment, could automate the ingestion and structuring of customer shipment requirement documents. The project aimed to extract actionable insights in near real-time, validate technical feasibility, and enable detection of mismatches between customer requirements and internal processes. Key steps included:

  • Building a data ingestion gateway
  • Implementing OCR and metadata tagging
  • Integrating large language models (LLMs) for structured output
  • Delivering a working prototype within six weeks

The process ensured secure data handling, compliance, and human oversight, with a focus on operational efficiency and scalability.

RESULT

The POC successfully automated the extraction and structuring of customer requirement documents, achieving end-to-end processing latency under 700 ms and extraction accuracy of 90% or higher on key attributes. The prototype demonstrated the ability to detect mismatches and prevent costly chargebacks, reducing processing time by 50-70% compared to manual methods. The solution enhanced traceability and validation across multiple data sources, lowered operational costs, and established a scalable foundation for future AI-driven compliance and supplier collaboration. Technical documentation, recommendations, and a roadmap for production deployment were delivered, positioning the client for broader adoption and continuous improvement.
