Situation
Our client went live with S/4HANA in three countries: Germany, Spain, and Poland. They needed a partner with proven experience developing and delivering end-to-end S/4HANA user training for their more than 2,000 end users. Additionally, the client needed trainers who spoke English, German, Spanish, and Polish and could work in-country. The training partner also needed proven experience training various S/4HANA modules while also training end users on the client’s future-state business processes.
Solution
We provided a team of three SAP training leads and 16 trainers to deliver training and hyper-care support to more than 2,000 end users in Valencia, Spain; Berlin and Eppelheim, Germany; and Poznan, Poland. The training leads were responsible for leading their respective SAP trainers to review, refine, and deliver end-user training and provide hyper-care support across various S/4HANA processes, including:
- Project to Decommission – Intelligent Workload Distribution (P2D-IWD)
- Quality Management (QM)
- Procure to Contract (P2C)
- Source to Pay (S2P)
- Project to Decommission – Product Substitution Procedure (P2D-PSP)
- Insight to Launch (I2L)
- Transportation Management (TM)
We implemented a governance structure to manage the trainers, onboarding, performance reviews, and engagement cadences to optimize the provided training services and mitigate risks and issues. Our trainers, working under the guidance of the training leads, in collaboration with the client and SI, contributed to:
- Flagging project risks and learning needs to core program team
- Assisting in the scheduling of more than 2,000 SAP end user globally onto instructor-led training and eLearning courses, which covered 12 end-to-end SAP processes
- Delivering change management activities that included collaborating with internal and external trainers, various departments, and Site Directors
- Driving engagement for the go-live and effective delivery of training
- Collaborating with project team members to ensure critical deliverables were met
Result
We swiftly deployed our team of 19, including three Training Leads and 16 trainers, to support three countries in four languages: German, English, Spanish, and Polish. Utilizing our travel team, we achieved cost efficiencies in scheduling, booking, and reporting travel. Over six and a half months, our team trained 2,000 end users on the client’s SAP S/4HANA process, ensuring local and cultural alignment and superior, on-time training. We collaborated with the SI and client on business change management, establishing a robust communication plan for training development, delivery, and hyper-care. We effectively addressed client-specific training questions, maintained team morale, and continued training activities with end users.
